Fees and payments

Online membership fees in a football club

Set the pricing once and the app charges the fees every month, watches the due dates and takes payments online. The money goes straight to the club's account.

  • Charged every month
  • Paid from a phone
  • Arrears visible at once

Collecting fees eats more time than the training sessions

In most clubs fees are a monthly ritual: someone copies the roster into a spreadsheet, checks the bank statement, ticks off who has paid and then writes private messages to the families who have not. With three teams it is manageable; with ten it becomes a second job.

  • Transfers arrive titled „payment” with no child's name, so they have to be matched by hand.
  • Nobody knows in real time how much the club has actually collected this month.
  • Chasing arrears feels awkward, so it usually gets postponed.
  • Sibling discounts and individual exemptions have to be remembered at every charge.

You set the pricing once, the app does the rest

In TrainTeam you enter the fee amount, the day it is due and the sibling discounts. On the first day of the month the system charges every active player, tells the families and reminds them once the due date passes. You look at one panel instead of a bank statement.

  • Automatic monthly charges, with nothing to trigger by hand.
  • The discount for a second and further child is detected from parent-player links.
  • An individual amount or a full exemption for a chosen player.
  • Parents pay from their phone with a card or a local payment method.
  • Cash payments are marked manually, so the panel still shows the full picture.

What the fee module gives a club

Automatic charging

Next month's fees appear on their own for every active player in the club.

Sibling discounts

A second and further child gets the lower rate without anyone tracking it in a spreadsheet.

Online payments

A parent settles the fee from a phone in well under a minute.

Arrears under control

Once the due date passes the reminder goes out automatically and the club sees the list of unpaid fees.

Payouts to the club account

Money moves through Stripe straight to the club's account — TrainTeam never holds it.

Export for bookkeeping

Download the charges and payments as a file and hand it to whoever does the accounts.

Whose workload this really removes

The fee module changes the day-to-day mostly for the people who chase money by hand today.

Club board and treasurer

One place shows how much came in, who is behind and how the month compares with previous ones.

Academy coordinator

No longer collects payment updates from several coaches and retypes them into one table.

Coaches

Stop being the middlemen in money matters and go back to running the team.

Parents

See clearly how much they pay and for what, and settle it from a phone without copying an account number.

How to switch fees on in your club

Connect the payout account

Set up the club's Stripe account — that is where the parents' money lands.

Set the pricing

Enter the fee amount, the due day of the month and the sibling discounts.

Handle the exceptions

Give chosen players a different amount or a full exemption.

Tell the families

Send one announcement; from there the system charges and reminds on its own.

FAQ

Frequent questions about online fees

Where does the fee money go?

Straight to your club's Stripe account. TrainTeam does not hold the money and does not run the club's bank account.

Are there any extra charges on top of the fee?

Yes. Online payments carry a service fee that covers payment processing — the parent sees the full breakdown before confirming. Fees settled in cash or by ordinary bank transfer can be marked in the panel manually, with no surcharge.

Does every parent have to pay online?

No. The app accepts online payments, but you can still collect cash or ordinary transfers and simply mark the fee as paid. The panel then shows the complete picture.

Is the fee module in every plan?

Yes. Fees work on the Free plan too — plans differ in the number of teams and people in the club, not in access to features.

Can I set a different amount for one player?

Yes. Any player can get an individual amount or a full exemption. The override stays in place until you change it.

What happens when a player leaves the club?

An inactive player is left out of later charges, and earlier settlements stay in the club's history.
