Build a shared process around three age groups

An example club has U10, U12 and U14, each with a squad, coach and two weekly sessions. Some share a pitch. A common process ensures the current schedule and attendance are still easy to find when a coach changes.

Agree names for teams, venues and events. Time, place and group should be clear without asking the author. Sharing a pitch is not a reason to merge squads. Check any player assigned to several groups against staff decisions.

  • Each current squad has a person responsible for changes.
  • The calendar shows sessions, matches and tournaments with times and venues.
  • Staff record actual attendance after events using the same rule across groups.
  • Families know where to check dates and who handles team contact.

Separate club responsibilities from app permissions

Coaches run their groups; administrators handle club structure and access. Coordinator is an organisational responsibility, while TrainTeam access depends on role and permissions. A title alone does not provide access to every team.

Assign an owner and a backup for each task. Someone must be able to change a session when the coach is away. Coach permissions can be restricted, so check them on the coach's account before work begins.

  • Administrators add teams, assign staff and verify access.
  • Authorised coaches update events, select match or tournament call-ups and record attendance.
  • The coordinator reviews an agreed scope and follows up gaps with coaches.
  • Parents or players respond according to contact settings and account links.

Review specific gaps every week

A review should identify who takes the next action. Check upcoming events, squad accuracy and attendance completeness after sessions. A missing entry does not establish a player's absence.

For a shared pitch, compare times and venues. A conflict warning needs a decision: change time or place, or agree shared use. The calendar does not reserve the facility. See the season scheduling guide.

Check every team's next week: dates, venues and overlapping events.
Review new players, moves between age groups and their contacts.
Agree which completed events still need attendance records.
Assign staff to follow up missing family responses rather than treating silence as a decline.

Compare like-for-like records

A response before training and actual attendance afterwards answer different questions. Check the period, event range and completeness before comparing groups. Read about academy attendance.

Hand over a team without sharing a personal account

Give a new coach their own access. The administrator checks the squad, upcoming events and permissions while the former coach explains current arrangements. Do not pass on a former staff member's password.

At season change, also review group names, memberships and training dates. Changing coach and starting a season are separate processes. Retain history but verify the current squad and schedule. See starting a new season.

Introduce the workflow in one group first

In TrainTeam, administrators work with club structure and coaches with assigned teams. Calendars, availability, call-ups and attendance stay linked to events and players. Families access information for their linked child.

Start with one age group, complete a week, correct contacts and arrange staff cover. Repeat in other groups afterwards. Count parents and staff when choosing a plan; check current limits in pricing.

Summary

  • Give every team its own squad and schedule within a shared recording process.
  • Assign responsibilities, backups and appropriate permissions.
  • Weekly reviews should identify specific gaps and who will resolve them.

FAQ

Organising several teams: questions

Should all age groups use one player list?

Each team needs its own squad. Assigning a player to several groups should reflect staff decisions, not replace team organisation.

Is a coordinator a separate role in TrainTeam?

Coordinator is an organisational responsibility. App access depends on the assigned role, permissions and team assignments.

What should I check when a coach changes?

Give the new coach their own access, check their team assignment and upcoming events, and adjust the previous coach’s access to their remaining responsibilities.

Do families see every team's calendar?

Families access events for their linked player. A shared club system does not give every family all squads and contacts.
