Instead of a spreadsheet

An alternative to Excel in a football club

A spreadsheet starts great, but with several teams it turns into chaos. TrainTeam gives you structure: players, attendance, dates and communication in one place, with access for the right people.

  • No more spreadsheet sprawl
  • Access by role
  • Attendance without manual sums

The spreadsheet stops keeping up with the club

One table for one team works. But as teams multiply, more versions of the file appear, someone overwrites data, formulas break, and access is either for everyone or no one.

  • Several versions of the spreadsheet and uncertainty about which is current.
  • No control over who sees what and who changed what.
  • Attendance and dates have to be tied together by hand, without notifications.

Structure instead of loose tables

TrainTeam replaces the spreadsheet with a tidy club structure: player cards, attendance at events, a calendar and communication. Data is in one place and access depends on the role.

  • Players and parents as cards, not columns to scroll.
  • Attendance tied to an event, without manual sums.
  • A history of changes and events stays in the system.
  • Parent and coach see only what they should.

What to keep in Excel

Excel is useful for custom calculations, analysis and archived reports. A single list maintained by one person may be enough if others do not need to respond or update information.

Consider TrainTeam for current squads, family contacts, calendars, availability, call-ups and attendance. It does not replace every financial model or custom formula. Choose a home for each task rather than deleting every file.

  • Spreadsheet: custom calculations and analysis not handled in the app.
  • Archive: older reports with a named person responsible for access.
  • TrainTeam: current squads, events, responses and attendance within each team.
  • Families: access to their player's information instead of the full contact spreadsheet.

Import a squad from CSV or XLSX

TrainTeam imports squad data from CSV or XLSX. Use one header row and one row per player. Preview recognised columns and errors before confirming. The Excel squad import guide explains the format and steps.

Import into one team at a time. Prepare each age group's data and check existing players. Squad import does not recreate a whole workbook, custom formulas, previous attendance registers or payment history.

  1. Check names, dates and contact details. Remove notes and summary rows.
  2. Select the correct team, upload the file and review recognised columns and rejected rows.
  3. Correct errors or deselect problematic rows. Confirm only verified data.
  4. Check family links and send invitations, then add upcoming events.

Avoid maintaining two current lists

Set the date from which coaches keep current events and attendance in the app. Keeping an old workbook as an archive should not mean updating its squad alongside TrainTeam. Two live lists soon diverge.

Start with one team and a full working week. Add other groups once squads, family contact and attendance follow the agreed process. See the complete guide to moving from Excel.

FAQ

Questions about moving off Excel

Can TrainTeam import a squad from Excel?

Yes. Squad import accepts CSV and XLSX, recognises columns and provides a preview before confirmation in the selected team.

Will it transfer old attendance registers and formulas?

No. It imports squad data rather than the whole workbook. Keep old registers, calculations and reports separately; build new event and attendance history in the app.

Do I have to stop using every spreadsheet?

No. You can keep Excel for your own analysis and archives. Agree where your team will maintain the current squad, events and attendance records.

What should I do with import errors?

Review the reasons in the preview. Correct data or deselect affected rows and import the rest. Check existing players before importing again.

Can I start with one team?

Yes. The Free plan supports one team. Once you have tried the app, choose a plan that fits the number of teams and people in your club.
